The Institutional Web Management Workshop 2007 (IWMW 2007) was held at the University of York between Monday 16th to Wednesday 18th July 2007.

Please note that the access rights to this wiki changed on 27 July 2007 - after that date you needed to be a registered WetPaint user in order to edit the content.

A subsequent change was made on 12 Febvruary 2009 - only the IWMW rganisers can now edit this wiki.

The IWMW 2007 event provided an opportunity for those involved in the provision of institutional Web services to hear about institutional case studies, national initiatives and emerging technologies and to actively participate in a number of parallel sessions.

The Institutional Web Management Workshop series are organised by UKOLN in order to support members of institutional Web management teams within the UK Higher and Further Educational communities and related organisations.

This wiki was set up for use prior to, during and after the workshop.

"Social Participation in Student Recruitment"

Title: Social Participation in Student Recruitment

Speaker: Paul Boag, Headscape

Abstract: Social participation is the cornerstone of the web 2.0 movement and has been spearheaded by sites such as digg.com. One of the underlying principles of these sites is that peer to peer recommendations carry more weight than those from either a search engine or from corporate advertising. The commercial sector has been quick to adopt this peer review mechanism with customer reviews and ratings.
This talk proposes to explore how social participation can be applied to the process of recruiting new students and what lessons can be learnt from the approach adopted by the commercial sector. We will also look at what institutional barriers exist that prevent this approach and how these can be overcome.

Abstract: E-communications, e-marketing and social media are hot topics for university marketers and communicators, with old ideas of 'control' looking more and more unrealistic. Now the talk is of 'influence', viral marketing, students as customers, and of client management, with the web and web technologies seen increasingly as the university's most important marketing tools. So what are the challenges, and what are the issues with which marketers will face us? Expect more of "why" and "want" than of "how"!

Title: Sustainable Communities: What does 'Community of Practice' mean for Institutional Web Managers?

Speaker: Dr Steven Warburton, School of Law, King's College London

Abstract: The notion of community continues to be recognised as a fundamental aspect within descriptions of shared human activity and group bonding. In his socio-cultural analysis of the work place Wenger defined a particular type of communion, which he termed a community of practice (CoP). The concept of a CoP has been somewhat abused in current literature yet it does provide valuable insights into how communities evolve, behave and sustain themselves. By elaborating dimensions of community such as shared practice, dialogue, legitimate peripheral participation and negotiation of boundaries, Wenger has provided a model that can be applied to a number of differing groups of activity. This talk will explore what we can draw from the work on CoPs, in terms of the role and identity of institutional web manager, one that is inseparable from a field of practice that remains dynamic, fluid and under constant negotiation.

Discussion Group Session 1

Exercise 1: Social Networks for professional development

There is a lot of interest in use of social networking tools and exploiting these tools in education. In this session discussion how these tools can help to support the Web Management Community.

The group focussed discussions on moving forward as a web management community and the development of online communities.

Members felt that there were several issues in developing a robust online community, including:

exclusion of others (online only communities)
active participation of those who belong to the community
the number of communities that already exist and the topics/themes being discussed in them
time to devote in administration
which tools are the most effective in getting members to actively participate in the community
engaging those who may not be part of an educational institution
continuuing to meet up/talk to one another outside formal conference settings

Exercise 2: Barriers

What barriers do you forsee in using these technologies?

This discussion will lead into the next discussion session in which you will discuss the potential use of social networking tools.

The group expressed that although they are part of the JISC mailing list, most are 'onlookers' or 'observers' than active participants. Reasons for this are varied but include:

not knowing who's actually on the list
fear of asking a 'stupid' question
time constraints

It was felt that perhaps a discussion forum would be a better tool for the web management community to use, rather than a mailing list. There would be distinct discussion areas. Examples expressed include:

Starter area - Beginner's Guide
Distinct Subject Areas - Web Editing, Marketing, Help with Code/Bugs, CMS, Analytics, etc.
Awareness service - sharing information, 'what's new'
Socials/Meet-Ups
Chat - Gabbly

It is also important to note that a discussion group on its own would be difficult to sustain if it was the only means of communication between the community. Promotion and encouragement from 'administrators' in the community should include regular email, provision of RSS, etc to update members of the community to participate in the forum.

Discussion Group Session 2

In your group revisit the issues that you identified on day 1. Seek to identify solutions to the barriers discussed and suggest ways in which social networking tools could potentially be used to enhance the ‘community’ aspect of the Web management community. Please provide feedback in the wiki.

The group were enthusiastic in setting up a discussion forum for the community. This will be supplemented by regional meet-ups and similar, but the group refrained from discussing the operational aspects of setting up with discussion forum until feedback has been received from the other groups as it did not want to duplicate any identical/similar ideas.

It was felt that the discussion board would benefit from the support/push of the the JISC community.

Social Networks for professional development

There is a lot of interest in the use of social networking tools and exploiting these tools in education. In this session you discuss how these tools can support the Web Management Community. Various tools are already used to facilitate social networking: Mailing Lists, Bebo, MySpace…. What else do people use?

Team wiki:

Very informal
Used for 6 months
Written in wiki markup

Issues:

Staff too old to embrace this… …This point was argued as ageist, it was later agreed that there were many other reasons why staff would shy away from this technology.
Too lazy
Too busy
Too senior – I have work slaves to do that for me(!)
Although simple when you know what to do, a common complaint was not having the time to learn a new technology.

Wiki for writing a report: One institution set up a wiki for a report writing exercise in collaboration with external consultants.

Issues: Although they could see the benefits of using the wiki for writing the report, most users e-mailed their comments in for someone else to add them to the wiki.

Discussion forums: It was decided that it would be difficult for senior staff to take part in a discussion in the same way less senior staff could, as often once they have given their opinion it is taken as final and therefore more difficult for that topic to still be up for discussion.

Fashion: Fashion often dictates which technology is used. There is reluctance to put all our efforts into creating new technologies, passing it out around the institution, and then people stop using it as technology has moved on, something better is needed. Would it be better to just embrace new technologies as they are created? Use programmes such as Facebook, mySpace, Bebo and then when fashion moves on, just move with it? Move on to the next new technology.

What else could we do:

Back up mailing lists with central resources

Problem with mailing list is it’s quite tricky to retrieve information. If you need the answer to a question you really have to search for it.
Emails can get a bit much to deal with if you don’t read them at the time. You end up with a long list of unread mail and no time to do anything about it.
Technologies move on so quickly, it’s more efficient to repost a question than trust the archive of information.

Wiki/Blog/Feed

IWMW have been using a wiki for years…do people *really* use it to its full potential though?
Who would be responsible for adding data?
- Could we add information from the mailing list?
Who would be responsible for maintaining the site/feed…taking any inappropriate material off?
Would people add anything at all, would it just be the same few doing all the work?
What should go on there?
Bit of a busman’s holiday having to do all the web work for the IWMW community when that is your job too!
Conference Wiki seen only as facility for the conference period – how could we change that?

Regional Groups

Scottish Web Folk meet quarterly – set up a local area for each region?

Issues:

Travel
One person having to take the lead and get it up and running
Either one person always responsible for organising each even or complications of taking it in turns

RSS Jisc news feed into Facebook?

Blogging:

Around 80-90% of people who set up a blog never go back to it.
Could be used for news rather than an HTML site.

Issues:

Problems with getting people to use it in the first instance though.

Facebook:

Facebook is informal, can target one person or a whole group
Allows the community to build as you can see faces and get to know people
- Doesn’t work when people use Homer as their picture though.
Facebook gives a personality to mailing list type activities.

Issues:

Issues with linking to an area outside of the University website. Taking people away from your website when they’ve just got there. Also not being able to link back to the University very easily.
Have to have the University address in case someone else does!!!
What if they close Facebook tomorrow?
- § Exit strategy!!!
- § Would we get the archive back?
- § Would we be able to easily transfer it into another programme?
Are there issues with mixing business with pleasure? Having personal information on a site that is used for work?
Are potential employers checking out online sites for information about candidates who are being interviewed? Is this good or bad?
Risk with external hosting
Multiple log ins
- § One institution planning single log on authenticated by Google or Hotmail which could also be used for external site.
- § Do we trust them though…? Are these all really barriers??

Face to face interaction: We need face to face interaction. Would video conferencing be a suitable alternative? Would it facilitate building a ‘community’? It’s used widely for training and meetings but not on an informal basis. You wouldn’t be able to achieve that informal freedom you have at the conference with someone you’ve actually met. But what about video conferencing with people you have met? Might need a specific purpose to start the conferencing in the first place…

Skype/IM

SMS used fairly widely internally…. Could we make more use of this across institutions though?
What about Skype or webcams with MSN? Chatting with people you know in a much less formal way…could that work?

Possibilities:

International Collaborations Database Instant access to information about activities being carried out in other countries… · Google mapped · Places and subjects are searchable · Populates as soon as you start to type Could tie into recruitment, click on the map and it would show recruitment agents in your area.

Facebook api – Directory of Experts Facebook is the kind of programme you can dip in and out of… you can change the settings so you receive emails informing you of a posting if you want to, but you can also switch them off. Within a network or main group called IWMW we could have sub-groups. We could have a group for each year of the conference, with conference specific details. Then groups set up for specific activities: css, php, xml etc… A directory of experts area within Facebook would allow access to information, in a personal way. You could see who to contact and know a bit about them before getting in touch. Each person attending the conference could have a profile – go on then, link it from a google map!

Issues:

Who would be in charge?
Profiles would need to be developed
Would one ‘expert’ be inundated with requests for help on a particular subject
- § Would need a bank of people able to answer questions on each subject.
Would people be willing to share information?
Archiving of data
Control of environment
Updating and upkeep
Resources

Actions - as a minimum:

The Facebook account for IWMW needs to be maintained and encouraged as an ‘all year round’ facility.
All conference goers should be encouraged to link into this, even if it’s just until we decide what else we can do.
Users should be encouraged to think how we can make it bigger, something that would make it the centre of the community.

Web Usage Statistics in the University Environment

The University of York is currently reviewing its approach to Web site statistics. We are looking to improve our knowledge of how visitors find and use our site and gather information that will help us to improve our structure and content.

Over the past two months we have been evaluating Nedstat Sitestat and Google Analytics. In this session we will be discussing the lessons that we have learnt so far.

Discussion Group Session 1

Exercise 1: Green Issues

Your discussion group should begin by listing what you see as the main green issues relating to the Internet. You might want to list these under the following headings and consider some of the following ideas:

Carbon Footprint (a generic term used to determine the environmental impact of an activity) e.g. Pollution, energy usage, daily working/office and home environment, travel, using raw materials in manufacturing and maintaining equipment.
Sustainability (preserving what we have without loss of lifestyle) e.g. progress and development, economics, expansion, disposable or reusable, recycling, lower expectations, change of lifestyle, or just change of daily habits, efficiency, etc.
Community/Cultural issues (people with shared interests getting opportunity to network, share ideas and solve common problems) e.g. finding out about and acting upon opportunities, tools for sharing ideas/concepts, language problems/issues? – communication, jargon busting, global vs local issues, motivation, documents on the Web, preservation issues, green fascism vs user requirements, education, etc.

Exercise 2: Barriers

Consider what are the main barriers to solving these issues.

Is the Internet a green technology? Does it create more problems than it solves?
What tools can help us solve these issues?
What technology/s could be used to help make the expansion of the Web more sustainable?
With respect to the web, what cultural issues could be addressed to improve morale in the workplace, and in your community, does it need improving?
What are the barriers that need to be overcome in your area of work in order to reduce your environmental impact and save money?

Discussion notes:

Power usage, scale and scope is questionable. Larger providers have a greater energy use
Working from home over the internet stops you travelling and reducing your footprint
Edgehill virtualisation of servers: fewer actual PCs so reduce power - also smaller steps like screensaver shorter timeout, go to standby rather than screensaver
Landfill of old servers and desktops, look at upgrading to Vista which means a huge hardware turnover. Upgrade servers for upgrade's sake - contracts.
Is Windows Vista processing-intensive in order to deliberately shift more hardware? Universities are always getting new students and they bring the latest hardware with them, so it has to be supported, so we need to have it inside the University.
One Laptop Per child (OLPC), green, human-powered by footpump
Apple's use of toxic elements in component usage recent controversy with Friends of the Earth
WEEE electronic disposal of all sorts. Computers are hazardous waste.
Disposal is a problem. Shipping to China can be economical because we get stuff here and ship it back in the same boxes, but then how do they dispose of it?
People move things to the web because they think it should be better and new, but it's not always, let alone practical. Printing stuff is a huge waste, there's no smart printing so you get a lot of stuff that you don't necessarily want.
Getting new servers without FPUs are more energy-efficient.
Cultural issues about using thin clients - although this would reduce the environmental impact of desktop PCs - they have a much longer lifecycle, something like 8 years or so opposed to the three year desktop upgrade.
Departmental control of servers could be reduced by centralisation but it's a hard political problem.
Estates pay or the electricity, so depts. have no motivation to switch to power saving machines.
Heating from machine rooms into the buldings, problems with extractions? Got to be an efficent re-use of heat power. Bath turned this off.
Community - do we provide another tools to work from home? What about all departments? Seems to be OK for IT workers. Is the green thing a red herring? Your own home has its electricity and lights etc. which would otherwise be shared at the office.
Pervasive computer use means a 24/7 computer power. All tech devices need chargers, etc. and a lot of people just leave them plugged in and turned on all the time.
Internet can't possibly be a green technology - there's no true offsetting - it's only the power generation that we can really save on so how can we improve there?.
Eco-friendly hosting services.
Are we buying more stuff because it's online, but then you're not travelling in to town go actual shopping.
Tesco delivery -
Supermarkets have started experimenting to use electric powered-trucks, converting all old milk float factories to produce them.
Video conferencing rather than travelling? Still not very popular, especially for larger events - still not really very good.
What would we be doing if the internet wasn't here? It's an enabler for things that wouldn't exist without it, so is it worth it anyway?
Does the long-tail enabling of the internet means that there's more demand and consumption or has it been displaced from somewhere else?
eBay is an enabler of extra sales so re-use on that scale is great.
Digital music purchases mean fewer CDs thrown away but does this offset the purchase of digital devices?
Can institutions influence the 24/7 expectations/gg use by having nightly downtime which makes people expect it and start doing it themselves?
Measurement is the problem. AMEE is aproject to help measure this and is installable inside institutions.

One thing that we could do is encourage people - on a voluntary basis - to continually encourage people to sort out their storage.
Name-and-shame, league tables etc, public measure of who's doing best in green inititatives.
Could use IWMW community as a basis of pushing through some sort of policy, target etc which would effectively be national.
Get everyone to submit an audit to a central resource to plunder for ideas on green initiatives.
Difficult to measure actual power consumption because we get everything through university but can measure other things - paper, machines buying rates, extensive latent capcity etc.
Go back to Universities and ask higher authorities to crack down on wasteful project-based spending on useless new machines (when there are good old ones around).
Students (and some staff!) often want to use machines/bandwidth for frivolous purposes - why not offer them separate (cheaper) server/network for this and thereby we can cut back on our (often expensive and wasteful) "serious" service capacity - one step back, two steps forward. University of Kent.

* Organisations like large amounts of stored data because they can use if for profiling, marketing etc.
* Universities don't provide individual accounts for electricity etc - this would help provide some incentive

* Self re-redgulating nature of internet is actually a barrier as easy for service providers to avoid it.
* We as eduction providers have an opportunity to help with this - educate incoming students about green credentials of providers, invite speakers to talk about green credentials.

Currently in the middle of CMS implementation, I'm looking forward to sessions on anything that is NOT CMS focused for a change and seeing what use of the web other HE institutions are making.

I initially started my web journey in 2000 creating multimedia arts projects exploring memory, escapism and the human psyche using flash, html, director and 3DS Max (with Virtools). More recently have been involved in web projects within a University environment, firstly working on the front-end of a .Net portal solution and currently working on an intranet project. I have a personal interest in Joomla CMS (and any other Opensource Software) and online affiliate marketing.

I like websites that use strong design to capture the imagination, and that push the boundaries of what we visually/structurally expect.

Exercise 1: Social Networks for professional development

There is a lot of interest in use of social networking tools and exploiting these tools in education. In this session discussion how these tools can help to support the Web Management Community.

Although some may feel that they're uncomfortable sharing a lot of people are self editing anyway.

The web equivalent of nodding at someone in the street. Maintaining a connection. Getting back in touch.

Tools for bringing them all together. If we all are already on one/some would post-workshop networking take off?

Exercise 2: Barriers

What barriers do you foresee in using these technologies?

This discussion will lead into the next discussion session in which you will discuss the potential use of social networking tools.

Some uncomfortable sharing personal info - mixing business and pleasure or work and home life.Some professional issues you may not want to share either.

Don't want multiple profiles. So which one do we use? Maintenance, re-adding your contacts when you join a new one is a pain.

Do we have time post-workshop to network? Do we have the inclination? Need organiser/facilitator without which tendency to go quiet... Need a purpose / reason to use social network not just to "play with".

Discussion Group Session 2

In your group revisit the issues that you identified on day 1. Seek to identify solutions to the barriers discussed and suggest ways in which social networking tools could potentially be used to enhance the ‘community’ aspect of the Web management community. Please provide feedback in the wiki.

Despite the conclusions of the previous session, maybe Social Networking has an advantage over mailing list as you can see who all the people involved are. The extra information is useful - can help self-moderation of replies, debate, discussion.

To overcome some of the problems managing information, time, effort etc we could perhaps set up some kind of test aggregator - pulling content from Social Networks, mailing lists, forums etc for this community. Some kind of "dashboard".

That way no single SN service is "forced" upon the community.

Do we feel we could all do all of this? "People" try to pigeon-hole us. A amount of discussion around there being a great deal of speciality in marketing. Are we all marketeers! But with everything being browser-based do we exist? Are we holding back internet development by being browser-obsessed? The academics and students are already going away from us. The burocracy is holding us back? Do we have a role co-ordinating external services?
We want to be doing this stuff - we want to be influencing our institutions - we want to pick up cool ideas. So we are here for a purpose..but we don't innovate at the technical level.

Do we use facebook, bebo, myspace, flickr, email, forum - forums still popular. Documentation within Wikis? IM - scaleable. Social software not suitable for work? Do we care about long term availability and fashion? Yes some do. We like threading, amaged, searchable environment. Must have a reason for the community. Social interfaces don't lend themselves to professional activity and people don't want everyone to know their business - an age thing? Seond Life? - not enough experience. Network or Coummunity.

Issues:

Staff too old to embrace this… …This point was argued as ageist, it was later agreed that there were many other reasons why staff would shy away from this technology.

Too lazy

Too busy

Too senior – I have work slaves to do that for me(!)

Although simple when you know what to do, a common complaint was not having the time to learn a new technology.

Wiki for writing a report: One institution set up a wiki for a report writing exercise in collaboration with external consultants.

Issues: Although they could see the benefits of using the wiki for writing the report, most users e-mailed their comments in for someone else to add them to the wiki.

Discussion forums: It was decided that it would be difficult for senior staff to take part in a discussion in the same way less senior staff could, as often once they have given their opinion it is taken as final and therefore more difficult for that topic to still be up for discussion.

What else could we do:

Back up mailing lists with central resources

Problem with mailing list is it’s quite tricky to retrieve information. If you need the answer to a question you really have to search for it.

Emails can get a bit much to deal with if you don’t read them at the time. You end up with a long list of unread mail and no time to do anything about it.

Technologies move on so quickly, it’s more efficient to repost a question than trust the archive of information.

Wiki/Blog/Feed

IWMW have been using a wiki for years…do people *really* use it to its full potential though?

Who would be responsible for adding data?

Could we add information from the mailing list?

Who would be responsible for maintaining the site/feed…taking any inappropriate material off?

Would people add anything at all, would it just be the same few doing all the work?

What should go on there?

Bit of a busman’s holiday having to do all the web work for the IWMW community when that is your job too!

Conference Wiki seen only as facility for the conference period – how could we change that?

Regional Groups

Scottish Web Folk meet quarterly – set up a local area for each region?

Issues:

Travel

One person having to take the lead and get it up and running

Either one person always responsible for organising each even or complications of taking it in turns

RSS Jisc news feed into Facebook?

Blogging:

Around 80-90% of people who set up a blog never go back to it.

Could be used for news rather than an HTML site.

Issues:

Problems with getting people to use it in the first instance though.

Facebook:

Facebook is informal, can target one person or a whole group

Allows the community to build as you can see faces and get to know people

Doesn’t work when people use Homer as their picture though.

Facebook gives a personality to mailing list type activities.

Issues:

Issues with linking to an area outside of the University website. Taking people away from your website when they’ve just got there. Also not being able to link back to the University very easily.

Have to have the University address in case someone else does!!!

What if they close Facebook tomorrow?

§ Exit strategy!!!

§ Would we get the archive back?

§ Would we be able to easily transfer it into another programme?

Are there issues with mixing business with pleasure? Having personal information on a site that is used for work?

Are potential employers checking out online sites for information about candidates who are being interviewed? Is this good or bad?
